Goal

Volunteer MBC Board Members provide mission-based leadership and strategic governance on behalf of its member organizations. The Board supports Volunteer MBC in increasing awareness of its mission and services that provide meaningful volunteerism, and best practices through learning and development, within the municipalities of Mississauga, Brampton, and Caledon. For information about Volunteer MBC: www.volunteermbc.org The 'Board Secretary' is responsible for keeping records of the Board actions, including overseeing the taking of minutes at all Board meetings, signing minutes, sending out meeting announcements, distributing copies of minutes and Board packages to each Director, and assuring that the corporate records are maintained.


Description

  • Reflects commitment to, and a clear understanding of, the mission and vision of Volunteer MBC in performance of duties for the Board
  • Supports the Board President and Vice-President as they carry out their responsibilities, including agenda preparation/conduct of meetings and monitoring of the Board's Annual Work Plan
  • Presides over Board meetings in the absence of the President and Vice-President
  • Works collaboratively with the other members of the Board
  • Records meeting minutes and distributes these to Board members in a timely fashion
  • Reviews past Board minutes/action items as required and relevant to future meetings
  • Maintains all Board records and ensures their accuracy and safe, secure preservation
  • Provides notice of meetings of the Board and/or of a committee when such notice is required
  • Represents Volunteer MBC to stakeholders; acting as an ambassador for the Charitable Organization
  • Participates actively in, and contributes to, Volunteer MBC fundraising, its events and campaigns *** MINIMUM 2-year commitment, including participation on one one of the Board's standing committees (see 'Time Detail' below) Selected applicants will be invited to attend for an interview about this role.

Qualifications

  • Minimum 21 years of age 
  • Post-Secondary education and/or work experience in Business Administration
  • Familiarity with the not-for-profit corporate sector is an asset
  • Experience in conducting business/board meetings is an asset
  • Good understanding of board governance policies/procedures is an asset (demonstrated experience in board governance definitely an asset)
  • Strong oral/written communication skills
  • Ability/experience in recording minutes of executive business/board meetings
  • Strong attention to detail/accuracy in creation/maintenance of business records
  • Strong organizational skills (incl. planning/scheduling meetings, agendas)
  • Demonstrated ability to work well independently and with others

Time Commitment
This is a Long Term (More than 6 months) commitment
Shifts are available Anytime

6 hours per month, involving 1 board meeting plus board committee work between meetings Annual General Meeting (usually in May) and preparation leading up to the AGM


Training

Orientation to Volunteer MBC will be provided during interview and on an ongoing basis (with the bonus that the 'Board Secretary' will enjoy opportunities to participate in Board Governance training, provided through Volunteer MBC's 'Learning Centre')
