Goal

Purpose:
To ensure the efficient and secure management of the Armagh organization's information inbox by promptly directing incoming communications to the appropriate managers, coordinators, and staff, while handling sensitive and confidential information with discretion.

Key Responsibilities:

  • Monitor and Respond: Regularly check and promptly respond to emails, ensuring all inquiries are addressed within 24–48 hours.

  • Categorize and Prioritize: Organize incoming messages by topic or urgency, flagging critical issues for immediate attention.

  • Maintain Records: Keep accurate records of communications, including responses and follow-ups, for accountability and future reference.

  • Collaborate: Work closely with relevant team members to relay information and escalate issues as necessary.


Description

The Email Communications Volunteer plays a critical role in maintaining the organization's communication flow. This volunteer will be responsible for monitoring the organization's main email inbox, assessing the content of incoming messages, and forwarding them to the relevant personnel. Given the nature of the information, the volunteer must exercise sound judgment and maintain confidentiality at all times.​

Key Responsibilities:

  • Monitor Incoming Communications: Regularly check the organization's information inbox for new messages.​

  • Assess and Categorize Emails: Evaluate the content of incoming emails to determine urgency and relevance.​

  • Redirect Emails Appropriately: Forward emails to the appropriate managers, coordinators, or staff members based on the content and urgency.​

  • Maintain Confidentiality: Handle all communications with discretion, ensuring that sensitive information is protected.​

  • Follow Up as Necessary: Ensure that forwarded emails are acknowledged and acted upon in a timely manner.

Qualifications

We're Looking for a Volunteer Who:

  • Has Experience in Professional Email Communication: Comfortable drafting, reviewing, and forwarding emails with attention to tone, clarity, and confidentiality.​

  • Demonstrates Strong Organizational Skills: Able to manage multiple email threads, prioritize messages, and ensure timely responses.​

  • Maintains High Standards of Confidentiality: Understands the importance of safeguarding sensitive information and adheres to privacy protocols.​ Please note that a Vulnerable Sector Check (VSC) is required for this role. 

  • Possesses Excellent Attention to Detail: Capable of accurately assessing the content of emails and directing them to the appropriate recipients.​

  • Is Self-Motivated and Reliable: Can work independently, manage time effectively, and consistently meet deadlines.​

  • Is Comfortable with Technology: Familiar with email platforms and basic digital tools; experience with Microsoft Outlook or Gmail is a plus.​


 Time Commitment:

  • Availability: Monday to Friday, between 9:00 AM and 4:00 PM​

  • Flexibility: Hours can be adjusted within this timeframe to accommodate personal schedules, with a minimum commitment of 5-10 hours a week.

Training

Will be provided upon onboarding. Tech support access to personal computer available.
