The community needs of the Town of Caledon have been the focus of Caledon Community Services (CCS) since 1971. Our Vision: A Healthy, Engaged Compassionate Community for all. Our Mission: To help people help themselves by working creatively and responding to community needs. CCS is a non-profit organization that provides health care and community services to the residents of Caledon. CCS supports assisted living for seniors, newcomer services, youth and employment services, specialized transportation services, food support, and referrals to community resources. As we emerge from the pandemic, our MAIN OFFICE (see MAP, below) is in need of an egaging, committed Volunteer Receptionist, who will welcome visitors to the office in a friendly and professional manner, receive phone calls, general emails, respond to, or direct enquiries, plus track statistical information accurately, and assist staff with other administrative needs as requested.

This is an EXCELLENT OPPORTUNITY for a volunteer who is interested in gaining/enhancing quality 'office administration' skills/experience'!


Description

Our Volunteer Receptionist will undertake tasks that are typical of 'office administration'. These include:

  • Greet clients and vistors, answer phones and redirect calls/faxes (act as 'the face/voice of CCS that the general public sees/hears)
  • A key 'role' in Microsift Office 'admin', incl. management of generally directed emails/faxes, monitoring/scheduling appointments with staff members in their calendars
  • Receipt/preservation of organization records by appropriate physical and electronic filing
  • Receipt/handling of mail, packages, deliveries
  • Ensure privacy of client information is protected at all times
  • Promote and fill CCS workshops by efficient scheduling of participants
  • General administrative support to staff

Qualifications

  • Minimum Age - 18
  • You're confidently skilled/experienced in 'office administration' (see DESCRIPTION, above), and past association with a community service organization is welcome
  • Your schedule places you in a position ti be flexible in your commitment to this 'role', and your engagement will embrace AT LEAST ONE 7.5 HOUR SHIFT WEEKLY (see TIME COMMITMENT, below)
  • Punctual/reliable
  • You have excellent oral/written communication skills (primarily ENGLISH, with fluency in additional languages welcome)
  • Your telephone manner is friendly, engaging as is your 'in person' interaction with the general public
  • Capacity to volunteer in a fast-paced environment
  • Organized, able to multi-task with attention to detail
  • Confident working knowledge of Microsoft Office software and devices used to utilize it
  • Police Vulnerable Sector Check & Proof of Vaccination

FLEXIBLE (WEEKLY): At least ONE 7.5 HOUR SHIFT
CCS 
office hours: Mon to Fri > 9:00 AM to 4:30 PM


Training

Ideal candidates will undergo ORIENTATION to CCS and to our 'office administration' systems, with additional TRAINING as needed.
