Goal

To support the success of ALOHA VEGAS 2026, Epilepsy South Central Ontario’s signature fundraising event, by helping source, organize, and manage silent auction donations.

This role directly helps raise critical funds for epilepsy awareness, education, and support programs across the region.


Description

The Silent Auction Recruiting Assistant is a dedicated volunteer who will work closely with the Fundraising Lead to help bring the silent auction to life.

You’ll be responsible for:

  • Reaching out to local businesses and community members to request donations

  • Managing the silent auction email inbox and responding to inquiries promptly

  • Coordinating logistics for pick-up or delivery of donated items

  • Ensuring donation forms, item descriptions, and values are accurately recorded in Google Drive

  • Preparing compelling listings with correct item photos, descriptions, and values

  • Supporting item delivery or pick-up for winning bidders post-event

This role is remote-friendly and offers flexible hours. It requires a commitment of 3–5 hours per week from January to April 11, 2026, with an increase in time closer to the event date.

Qualifications

We’re looking for someone who is:

  • Friendly, approachable, and comfortable reaching out to new contacts

  • Organized and detail-oriented — strong with tracking info and managing timelines

  • Proactive and reliable, able to work independently while staying accountable

  • A strong communicator with solid writing skills (email etiquette matters!)

  • Familiar with or open to learning Google Sheets, Docs, and Drive

  • Passionate about community engagement and fundraising for a good cause

  • Available for 3–5 hours/week (January–April 11, 2026) — with flexibility and some increased time closer to the event

Our office is  located at 250-A Lakeshore Road East in Mississauga

 


Training

Volunteers will be fully oriented to Epilepsy South Central Ontario, the ALOHA VEGAS 2026 event, and their responsibilities within the silent auction.

Training will cover effective communication with potential donors and community partners, how to log and track donations using Google Drive/Sheets, and best practices for writing item descriptions, assigning values, and formatting photos.

Volunteers will also receive outreach and follow-up tools and templates, along with ongoing support from the Fundraising Lead. No previous fundraising experience is necessary—just enthusiasm and a willingness to learn.
